I have a template for a maintenance request to my landlord(.ott) I assume he has a microsoft format and he says he cant open my maintenance request. Need I do anything before I attach request to email?

If you save in native ODF format (.odt), few chances your landlord will be able to open it. You have to save it in .doc format if he hasn't installed OOo. See: Can Microsoft Office open OpenOffice Documents?
