Autofill a form

I'm new to Openoffice Base

What happens is that I have a folder, in wich I put some .odt documents.
The text documents always have the same header (file number, subject, event, place, date) and I need a list of what is on the header of every .odt file...
I was wondering how I could automate this process.

1 - Base should know if there is a new document on a specific folder.
2 - If so, it should look onto specific places on the document to fill itself.

Is there an easy way to do this?
